MANAGEMENT COMMITTEE - Roles & Responsibilities
President
Objectives

Ensure the club is successful in delivering its mission

Manage the performance of each committee member ensure the committee performs its responsibilities to the highest levels
Responsibilities

Accountability for the success of the club – on-field and off-field as well as financial success

Ensure the club has a Mission and Values

Form the strategic direction of the club

Ensure the season is well planned and steer committee towards a common goal and is committed

With guidance from the Treasurer, set and manage budgets

Set the overall annual committee agenda for the year

Convene and chair regular and effective committee meetings

Represent Eagles in front of all peak bodies – GCDRU, QRU, RA

Manage business relationships

Convene and chair the club’s annual general meeting

Secretary
Objectives

Manage communication between the club and the community

Promote the club through marketing and merchandise

Responsibilities

Ensure the wider community is engaged in the club and is aware of events and functions that impact them

Manage complaints (and compliments) with the community

Continually market the club at every opportunity

Manage logos and branding

Maintain databases of members, sponsors, Old Boys and other stakeholders

Prepare the agenda for committee meetings in consultation with the Club President

Complete and communicate the minutes of the previous meetings

Read, reply and file community correspondences promptly

Treasurer
Objectives
-
Ensure the management of the club’s finances is transparent and accurate

Looking for improvements to process and quality by challenge club costs
Responsibilities
-
Prepare the budget and monitor this carefully through regular reporting to the committee

Keep proper record of all payments and monies received
-
Ensure financial reports are available and understood at committee meetings
-
Provide club’s financial status at each committee meeting or as required
-
Bank monies from cash registers and retrieve bank receipts as proof of deposits
-
Ensure information required to complete financial reports are up-to-date
-
Prepare financial report for the club

Ensure information for the annual financial audit is up-to-date for the calendar year

Conduct the financial audit and/or assist any external auditors (as required)

Prepare in consultation with the club accountant the annual club tax returns

Club Manager
Objectives
-
To provide good quality food, beverages and service during operating hours and on game days

Promote and manage the use of the club house and facilities by club member and the wider community

Ensure the club house is clean and tidy
Responsibilities
-
Maintain proper food and hygiene standards – council regulations and other regulations
-
Follow food and beverage safety guidelines
-
Understand the licensing regulation and request variations as required
-
Supervise canteen staff and volunteers as is required
-
Ensure all bar workers including volunteers hold current RSA certification and maintain copies of these certificates
-
Ensure all canteen workers including volunteers are familiar with correct food handling and hygiene practices

Review and price all stock items to be sold

Ensure good stock rotation practices are in place

Ensure the right stock levels of food and beverages

Ensure the club house, food and beverage is available on game days

Responsibilities

Manage all repairs to facilities and buildings and immediate surrounds – kitchen, toilets, changing rooms, showers, keys and locks, roof, plumbing, electrical, gas, refrigeration, air conditioning, windows, buildings, gardens, trees, club memorabilia within the club house

Manage a proactive maintenance programme for all facilities and buildings and immediate surrounds

Ensure keys and locks are cut and distributed each year
Field Manager
Objectives

Ensure the fields are maintained and are in great condition for game days and trainings
Responsibilities

Funding Manager
Objectives

Actively seek new and applicable grants and/or sponsorship for the club

Design a range of merchandise for sale – hoodies, caps, singlets

Source suppliers and procure merchandise through supplier

Minimise stock-on-hand in favour of suppliers holding stock and invoicing as we generate sales

Provide club members with the opportunity to purchase merchandise at the beginning then throughout the year

Past Players Manager
Objectives

Configure the club’s Rugby Xplorer portal for registrations and other use including configuring teams, reports, user access, payment gateways

Provide Rugby Xplorer technical support to coaches, managers, club committee

Ensure Rugby Xplorer users can use the system efficiently and effectively

Assist with queries relating to registration

Assist and monitor player transfers

Uniform Manager
Objectives

Manage the procurement, distribution, collection, and repairs of all uniforms for players, coaches, managers and other officials

Ensure uniforms – jerseys, shorts, socks – are distributed before the first pre-season game to both players and administrators
